Organization of symposia support

Competition 2018-2019

Introduction 

The Quebec Population Health Research Network (RRSPQ) is pleased to announce its program of support for the holding of seminars and conferences. The purpose of this program is to provide QPHRN members with a financial support for the organization and holding of seminars and conferences dealing with a topic related to population health research and preferably with the activities of its strategic groupings. 

Eligible projects are those that fall within the mission of RRSPQ and that achieve the objectives of the latter (see https://www.santepop.qc.ca/en/background). 

Amount 

The Network provides funding that can be supplementing other sources of funds. 

Amount: $5,000

Eligibility 

  • The candidate must be a QPHRN student or regular researcher member. 
  • Is eligible: any team with at least one “regular researcher” member of the Network organizing a seminar or a conference that addresses a topic related to research in population health and has the potential to advance research in this area.
  • The symposium must address themes that are related to population health research and preferably with the activities of its strategic groupings.
  • The symposium must be held in Quebec before March 31st, 2019

Priority will be given to workshops / conferences that will lead to: 1) a publication (book, conference proceedings, article, etc.) resulting from the event AND/OR 2) a report that could be posted on the RRSPQ website, including an abstract of all interventions, and, if possible, the files of the presentations and posters. 

Submission 

Applications must be submitted with one single attachment (Microsoft Word or PDF) via electronic mail, – Object: “Contest - Conferences/Seminars” – no later than the submission date and hour (October 1st, 2018; 4pm) at the following address: rrspq.coordination@gmail.com

Applications will be a maximum of five pages (font Calibri size 12, spacing 1 ½). In addition, the principal applicant must attach a brief resume (3 pages). Long resume will not be accepted.

Content of Applications:

Page 1: 

  • The name, affiliation and contact details (address, phone, email) of the principal applicant 
  • The name and contact details (address, phone, email) of the agent who will administer the funds 
  • The name and affiliation of co-applicants 
  • The title of the conference and details on the symposium (place, anticipated dates) 
  • The budget requested to the RRSPQ and the total budget 
  • A short justification of the budget requested to the RRSPQ
  • A description of the other sources of funding

Pages 2-3: 

  • The objectives of the seminar / conference 
  • The target population (including the anticipated number of participants) 
  • The organization plan 
  • Foreseen conduct of the symposium
  • A short description of how this event joins the strategic priorities of the Network 
  • If applicable: a short description of future publication or report for the RRSPQ website (see sections Eligibility and Evaluation Criteria)

Page 4-5:

  • The preliminary program (if available) 
    and / or 
  • The list of speakers (anticipated, or guests who have confirmed their presence) 
    and / or 
  • The list of titles or topics of presentation 

Review

Applications will be evaluated by a committee established by the Steering Committee and the results will be announced during the month following the submission.

Evaluation Criteria:

  • Quality of the program and speakers 
  • Congruity with the mission and goals of the Network 
  • Link to Strategic Priorities in the Network 
  • Interdisciplinary, interinstitutional and intersectorial aspects
  • Potential contribution to the development of research capacity 
  • Potential for sharing of knowledge and usefulness to policy makers and practitioners 
  • Potential for development of new collaborations and research projects or structuring effects 
  • Existing plan for external publication (article, book, report, …) and/or for the report that could be published on the website of the RRSPQ

Report 

Funded researchers must submit a financial report to demonstrate the use of funds allocated and a scientific report (which may be the final program, or preferably a report describing the event and summarizing interventions, that could be published on the QPHRN website – see evaluation criteria). 

Commitments

  • Funded authors must submit a financial report to demonstrate the use of funds allocated
  • The RRSPQ financial contribution must be explicitly mentioned 1) in all promotion material and final program, with the logo of the RRSPQ; 2) in all resulting publications or communications. The following acknowledgment is suggested:
    « Les organisateurs remercient le Réseau de recherche en santé des populations du Québec (RRSPQ) pour sa contribution au financement de ce [choisir le terme approprié : symposium, colloque, …] »
    “The organizers thank the Quebec Population Health Research Network (QPHRN-RRSPQ) for its contribution to the financing of this [choose appropriate: symposium, conference day,…]”
  • Funded organizers will have to attend the QPHRN Annual Scientific Meeting.

Cancellation of the 2013-2014 Competition

The FRQS budget allocated to the QPHRN/RRSPQ for 2013-2014 has been decreased by 20% compared to our projections.

This drastic reduction requires the adjustment of the network budget allocation of each item of expenditure. This has forced the Network to cancel the 2013-2014 Organization Support of Symposia.

In the Network's application for renewal of the grant to the FRQS which is to be submitted in the fall of 2013, members of the Board of Directors will ensure that the funding of all essential to its mission activities can be restored.
