Responsible for coordinating research studies and providing administrative support to the Cardiology Research group at Vancouver General Hospital. The incumbent will be responsible for the coordination of specific research studies and, in addition, will complete ethics and regulatory submissions for new studies and assist with the overall facilitation of group research objectives.

Organizational Status

Reports directly to the Research Manager and has a direct working relationship with Principal Investigators and Co-Investigators. Interacts closely with and assists other members of the UBC-VGH Cardiology Research team.

Work Performed

Research Coordination Responsibilities
-Executes research protocols and implements study procedures for enrolled patients in accordance with skills and education and Good Clinical Practice
-Administers research budgets for assigned studies to ensure compatibility with study protocols and tracks payments from sponsor, grant, or funding agency
-Facilitates protocol approvals and cost analyses for hospital services
-Prepares and submits ethics applications and administers regulatory documents for assigned studies
-Screens potential patients for assigned studies by reviewing medical history, laboratory results, cardiac test results
-Creates patient consent forms and designs case report forms for assigned studies
-Schedules patient follow-up visits and performs diagnostic procedures in accordance with training, including blood pressure, heart rate, and ECGs when appropriate
-Retrieves and interprets data as necessary from family physician, referring cardiologist, medical records, and hospital and laboratory databases
-Completes case report forms and responds to data queries
-Coordinates collection, storage, and shipment of participant samples and study-related materials

Administrative Responsibilities
-Responsible for facilitating appointment of Interventional Cardiology Fellows and scheduling candidate interviews
-Orientates Interventional Cardiology Fellows and provides training and supervision to Work Learn student employees and clerical assistants as necessary
-Implements Standard Operating Procedures and revises existing SOPs to meet the needs of the Cardiology Research team
-Administers potential research studies: submits confidentiality agreements and site questionnaires, reviews protocols and budgets, organizes screening trials when required, and tracks the status of document submission
-Creates and maintains a current file of emergency contacts for active trials and distributes this information to research staff and relevant hospital staff
-Administers facility resources (e.g. arranges annual calibration and maintenance of diagnostic equipment, orders and purchases office supplies, study-specific lab supplies, and clinical supplies)
-Maintains staff training records and ensures Health Canada/FDA, sponsor/grant, and clinical research ethics training is comprehensive and up-to-date for each staff member
-In the event of an audit, is responsible for site preparation, pre-audit staff review, and audit coordination and facilitation
-Administers tracking and collection of confidential documents from Investigators
-Ensures timely payment of invoices and maintains a current file of invoices paid for each study which is made available to other research staff as necessary to assist with budget development
-Liaises with vendors including, but not limited to, laboratory staff at BC Cancer Agency, laboratory and pharmacy staff at Vancouver General Hospital, and engineering technologists from Lower Mainland Biomedical Engineering
-Acknowledges receipt of, and accessions, study drug supplies

Supervision Received

For administrative duties, reports directly to the Research Manager. For work involving research participants, is directly accountable to the Principal Investigator.

May supervise Work Learn student employees and clerical assistants when appropriate.

Consequence of Error/Judgement

- Study may be jeopardized if not conducted according to ethical requirements as laid out by the University and other regulatory authorities
- Patient confidentiality can be compromised if files are not kept secure.
- An error within the realm of a research study may result in biased or incomplete data and skewed study results
- Any procedure or data record as part of the project must be accurate and must accurately reflect the work performed
- An error in scheduling study subject visits may result in a protocol deviation/violation
- An error in the collection, storage or shipment of biological samples could result in them being rendered ineffective, requiring repeat collection or loss of irreplaceable data
-Errors in budgeting could result in budgeting shortfalls and jeopardize specific studies or group accounts.

Qualifications

Undergraduate degree in a relevant discipline or Graduation from a technical college or institute. Minimum of 4 years of related experience or the equivalent combination of education and experience. Appropriate knowledge of research ethics. Experience in a healthcare environment. Proficiency with Microsoft Office suite, data entry, and database management. Good Clinical Practice and Dangerous Goods training is an asset. Excellent verbal and written communication skills and the ability to work both independently and as part of a team. Ability to deal with a diversity of people in a calm, courteous, and effective manner. Ability to effectively manage multiple tasks and priorities. Ability to be thorough, organized, accurate, and have a high level of attention to detail. Ability to work effectively under pressure to meet deadlines. Experience handling, processing, and transporting blood specimens is an asset. Experience training and supervising junior staff is an asset.
